Office of Continuity Verification

Scheduled Maintenance of Prior Events

Maintenance is performed on completed events to preserve their administrative usability. Maintenance does not change what occurred. It changes how what occurred is indexed, cited, and retrieved.

Members of the public are not required to do anything during a maintenance window. Events under maintenance remain available for ordinary use.

What maintenance may involve

  1. Reindexing citations so that a record can be retrieved by more than one identifier.
  2. Restoring a season inadvertently omitted during a prior revision.
  3. Reconciling two records that describe the same event completely.
  4. Placing a period in read-only status while its dependencies are confirmed.
  5. Removing references introduced by a revision that was not issued.

What maintenance does not involve

  1. Altering an event.
  2. Removing a person from the Official Record.
  3. Assigning an employee to a date. That is field activity and is governed by Directive 4.1.
  4. Contacting members of the public.

Notification

Maintenance windows are announced in advance where advance notice is possible. Where a window has already concluded, the announcement is published for the record and no action is required.

The Bureau has never been required to reverse a maintenance window. The Office of Continuity Verification attributes this to planning.
